Estates & Facilities Assistant

Contractual Hours:  37.5 hours per week between the hours of 12:00PM and 10:30PM Monday to Thursday (36 weeks per year, Term time only- January to June, October to December)

Person Specification

We are seeking to appoint an energetic and highly motivated individual with a strong interest in facilities management who will have the knowledge and expertise to support the Head of Estates and Facilities Manager in ensuring that the buildings and facilities that make up the BIMM Institute Birmingham estate are fully functioning and fit for purpose. The successful candidate will be involved with the day-to-day running of one of the Institute’s campus working closely with the Facilities Manager to ensure the appropriateness, quality and safety of the college environment. 

The successful candidate will be a team player who is used to working to tight deadlines and dedicated to maintaining an environment where staff and students alike are able to meet exacting standards of educational excellence. 

Good communication, planning, organisational and time management abilities are essential as you will be required to carry out instructions to specific deadlines.

Facilities Assistants should always be willing to share their knowledge and assist tutors in delivering lectures using the latest musical equipment and technology.

Desirable Criteria

• Recording studio experience
• Experienced with windows and OSX
• Knowledge of DAW’s and recording software
• Full UK driving licence

Key Accountabilities

The post holder will be required to meet the listed accountabilities. These are indicative of the roles and responsibilities you will have; however, these may change in line with the needs of BIMM.

1. General
a) Assisting the Head of Estates as required
b) Working with the Head of Estates and Facilities Manager along with the Education team to ensure the best allocation of studio and classroom resources
c) Planning and facilitating internal and external events
d) Day to day running of the building and facilities, ensuring smooth crossover of shifts from the rota-ed facilities assistants
e) Key holding and fire marshal responsibilities
e) Working with Exams department to facilitate assessments.

2. Equipment
a) Ensuring that all teaching rooms are laid out correctly and have the requested/necessary equipment for the smooth running of the day’s lessons 
b) Responding to lecturer’s equipment requirements to help ensure excellence of teaching delivery 
c) Providing technical support for live sound requirements.
c) Checking equipment regularly to ensure good working order
d) Maintaining the equipment asset list for the building and any external venues
e) Operating equipment and room booking system.
e) Backline setup and repair with reporting equipment faults to the Head of Estates
f) Arranging for the servicing and repairing of equipment with the Head of Estates’ approval 

3. Cleaning
a) Checking that the building is clean and tidy before the arrival of staff and students and monitoring the environment throughout the day
b) Checking that the contract cleaners’ work is up to an acceptable standard and reporting any issues to the Head of Estates 
c) Monitoring the cleanliness of the toilets, reporting any plumbing or sanitation problems to the Head of Estates
d) Emptying the bins and vacuuming the reception, if necessary, if required
e) Ensuring that the area directly outside of the entrance to the BIMM Birmingham building is generally clean and litter free

4. Health and Safety & Security
a) Being fully aware of all BIMM Group Health and Safety regulations and maintaining constant vigilance that these are adhered to by staff and students
b) Working with the Head of Estates to draft risk assessments and keep the H&S testing program (fire alarm, fire extinguishers, fire evacuation etc) up to date
c) Assisting the Head of Estates in the training of tutors with regard to BIMM Birmingham’s policy and reporting non-compliance to the Head of Estates 
d) Enforcing BIMM’s security protocol and ensuring good practice is carried out by all of the Estates team and other keyholders
