Contractual Hours: 22.5 hours per week, between 09:00AM-5:30PM Monday to Friday

Person Specification

We are seeking to appoint an enthusiastic, experienced and dynamic professional with a pastoral/support background which will enable them to undertake a key role in supporting all students to complete their studies and achieve at the highest level.

The successful applicant will work as part of the Student Services team to help promote and encourage access to Student Support services and oversee the welfare of all BIMM students.

Essential criteria for the applicant

• Excellent interpersonal skills with the ability to communicate effectively 
• High level accuracy in data inputting
• Be able to work quickly and accurately under pressure
• Computer literate with an excellent knowledge of Excel and Word

Desirable criteria

• Experience of working in the Education sector
• Experience working with exam rules and regulations
• Qualification in Counselling or experience dealing with high level pastoral care


1. Quality
• Maintenance of registers and attendance monitoring databases 
• Enrolling and maintaining student data on Unit-e and all other relevant databases 
• Reporting on attendance, retention and achievement when requested and assisting the Head of Student Services in the production of data-based reports 
• Assisting with the administration of withdrawals 
• Assisting with the co-ordination of termly focus groups and student questionnaires and presentation of the findings to Board of Studies 
• Learning and understanding the demands of the courses BIMM offer, and referring students to Academic staff/study support team when necessary

2. Student Support
• Advising/supporting students on a drop-in and appointment basis on any issues affecting them, and referring on when needed
• Attendance monitoring including chasing of students via telephone, e-mail and letter 
• Implementation of disciplinary procedures where necessary 
• Face to face tutorials where necessary, both pastoral and attendance and referring students on to external bodies when appropriate 
• Student, Tutor and Parent contact point for relevant cohort 
• Following up pastoral issues and keeping in regular contact with student caseload
• Working with Course Leader to ensure students satisfaction remains high and emerging issues are flagged and addressed 
• Helping students with the Mitigating Circumstances process
• Working with external organisations to provide joined up approach to support (ie counsellors, GPs, mental health services)
• Undertaking any available training to further knowledge and skills 
• Maintaining awareness of changes in FE and HE sectors and understanding how these affect students (ie student finance, funding, DSA, housing issues etc). 

3. General Administration
• Keeping accurate records of tutorials/phone calls
• Maintenance of student files 
• Updating BIMM policies and procedures on an annual basis, including the Student Manual 
• Covering reception when needed 
• Answering student and parent queries 
• Assisting with archiving all student data both electronically and physically 
• Assisting with open days when required
