International Applications Advisor

Contractual hours: 9am-5:30pm Monday to Friday (37.5 hours per week) with occasional Saturday work required

Person Specification

The post holder will have a central role in supporting our international applicants through their application process. This includes assistance with the applications coming to our institute direct as well as through our international agent network. Key responsibilities of the role include a good understanding of international qualifications, efficient customer service, data security, international student requirements (CAS, visas), UCAS and the value of clear and concise communication.

The International Applications Advisor will ensure that the application process is handled smoothly and efficiently for all international students, whether they have applied directly to the institute or have come via an agent partner. They will work closely with the wider admissions team and BIMM’s Immigration and Compliance department who work across the BIMM Group in terms of the applicants/students that come under the new international Student Route.

Essential Criteria for Applicant

• A background in International Admissions or general Admissions within an educational body
• Effective communication skills – experience in communications (written and verbal) in professional settings where English is not the first language
• Proven skills in prioritisation and managing a varied, fast paced workflow
• Digitally literate – advanced skills using Microsoft Office
• Proven team player
• Knowledge of UCAS and/or experience in education
• Interest in International markets and/or affairs
• Accuracy and attention to detail – ability to present professional examples

Desirable Criteria for Applicant

• Knowledge/experience of working within a regulatory environment
• A background in international admissions or admissions within an educational body
• Experience of working in or a passion for creative careers/studies
• A background in immigration/compliance

Key Responsibilities:

The direct line of report for this role will be the BIMM Admissions Offers and Applications Manager, however this post will also work with a range of line managers within the admissions and international departments on a weekly basis to meet the following key accountabilities:

1. International Applications – UCAS and Direct Applications

a) All UCAS and direct applications are processed within 48 hours of receipt, including the booking of any required audition or interview within a 3-4 week time frame
b) Management of applicant/student files and records
c) To offer guidance and advice on the application/audition process and provide applicants with the appropriate audition/interview guidelines
d) To reply to all international applicant correspondence within 48hrs – this also includes queries from our international agents regarding their applicants
e) To maintain weekly administrative tasks as set out by the line manager
f) Follow up on applicants offers
g) Contract offers to successful applicants are made weekly and within 7 days of successful audition/interview
h) Follow up unreturned contracts within the time frame as specified by the line manager
i) Updating the main SRS database with applicant/student details as appropriate for the admissions function
j) Assisting with the scholarships, bursaries and incentive schemes – supplying information to applicants and agents, processing applications, collating documentation and evidence where required.


2. Applicant CAS (Confirmation of Acceptance for Studies) preparation

a) To assist the applicant and/or the agent acting on behalf of an applicant in the preparation of all documents
pertaining to CAS issuance. This will include collating a range of personal documents, ensuring they meet
the CAS criteria and are security protected as per our GDPR regulations.
b) Liaising with BIMM’s Immigration and Compliance dept on a regular basis to ensure CAS requirements are
provided in an efficient manner and to keep up to date with any regulatory changes
c) Assisting international agents with CAS queries on behalf of their applicants

3. International Agent Network Support

a) To assist agents throughout the application process for their clients. This will mainly entail updating agents
on the progress of applications and providing information which will help the agent support their individual
applicants
b) Responding to agents via email and phone – supplying information on BIMM’s admissions processes and
on their applicants

4. Data Management

To assist with keeping accurate records for applicants:
a) Ensure the correct data base is used for each stage of the application process
b) Ensure uploads from UCAS are checked weekly when requested by the MIS department.

5. Additional Responsibilities when requested by the Head of Admissions:

a) Representing International Admissions at BIMM recruitment events – virtual or on site. These are usually held on a Saturday. Toil or payment is offered for working these events.
b) Attending conferences and training sessions
c) Helping at enrolment for new and current students – this may require travel to other campuses
d) Assisting the enquiries team and chat functions
e) Training other members of the admissions department on processes
